Key Features of a Formal Letter

  1. Structured Format: Formal letters adhere to a precise structure, including a sender’s address, date, recipient’s address, salutation, body, and closing.

  2. Professional Tone: The language is polite, respectful, and devoid of slang or colloquialisms.

  3. Clear Purpose: The content is concise, focused, and to the point, addressing the purpose of the letter directly.


Format of a Formal Letter

1. Sender’s Address

Write your full address at the top left-hand corner of the page. Avoid abbreviations.

2. Date

Mention the date below the sender’s address. For example, 14th December 2024.

3. Recipient’s Address

Include the name, title, and address of the recipient. If you don’t know the name, use the appropriate designation, e.g., "The Manager."

4. Salutation

  • Use Dear Sir/Madam if the recipient’s name is unknown.

  • Use Dear Mr./Ms. [Last Name] if the name is known.

5. Subject Line

Write a brief subject line to summarize the purpose of the letter, e.g., Subject: Request for Leave Approval.

6. Body

Divide the body into three main sections:

  • Introduction: State the purpose of the letter.

  • Main Content: Provide details and supporting information.

  • Conclusion: Mention the desired outcome or action and offer thanks.

7. Closing

End with a polite closing phrase such as Yours faithfully (when the recipient’s name is unknown) or Yours sincerely (when the name is known).

8. Signature

Sign your name and print it below. If applicable, include your designation or contact details.
